Intake Efficiency

Law firm intake software for small US firms

Our own product: law firm intake software for small US firms. It answers every enquiry in about 60 seconds by email, SMS and WhatsApp, scores and prioritises each lead with plain-English reasons, alerts the lawyer, sends the booking link and follows up. Leads arrive from web forms and Meta and Google lead ads.

The problem

Small US law firms get their new business as enquiries, and most of those enquiries wait. A web form or a lead ad arrives in the evening or at the weekend, nobody at a one-to-ten lawyer firm is free to answer it, and by the time someone does the person has called the next firm on the list. The firm paid for the lead and lost it before anyone spoke to them.

Our approach

Intake Efficiency handles the stretch between an enquiry arriving and a consultation being booked. It replies on the channels the lead agreed to, scores the lead from 0 to 100 with the reasons written in plain English, alerts the right lawyer and sends the lead the firm's booking link, then follows up until the lead replies, books or opts out. Consent is recorded per channel, and anything that reads as a legal question goes to a person at the firm rather than to an automated reply.

The outcome

A live product at codesloci.com/intakeefficiency with Starter ($149), Growth ($299) and Pro ($499) monthly plans and a 14-day free trial that needs no card. It is software, not a law firm, and it gives no legal advice.

What is law firm intake software?

Law firm intake software handles a new enquiry between the moment it arrives and the moment it becomes a booked consultation: the first reply, the qualifying, the alert to a lawyer, the follow-up and the record of where the lead came from. Intake Efficiency does that for small US law firms that get leads but have no one whose job is to answer them.

What happens to an enquiry

  1. An enquiry arrives from a web form or a Meta or Google lead ad.
  2. It gets a reply in about 60 seconds, on the channels the lead agreed to.
  3. It is scored and prioritised, with the reasons written in plain English.
  4. The lawyer is alerted and the lead is sent the firm’s booking link.
  5. Follow-ups continue until the lead replies, books or opts out.

Software, not a law firm

Intake Efficiency never gives legal advice. Its messages say they are automated, and a lead who asks a legal question is handed to a person at the firm. That line is drawn in the product rather than left to the wording of a template, because an intake tool that drifted into advice would be a liability for the firm using it.

A deliberately small stack

The backend is Node.js and TypeScript over PostgreSQL, with Zod validating every boundary; the product site and the firm console are Next.js. For software that holds people’s enquiries to a law firm, a small dependency surface is part of the security model, not an aesthetic choice.
